SharePoint and OneDrive migration at a glance
Who this is for
IT Directors and operations leaders who want to retire file servers, consolidate document storage in Microsoft 365, or clean up content before rolling out Copilot.
When you need this
File server or NAS decommissioning, an office closure or relocation, SharePoint 2013/2016/2019 end of life, a move off Google Drive, Box or Dropbox, or as a Copilot prerequisite.
Delivery model
Remote project for UAE and US organizations using Microsoft Migration Manager, the SharePoint Migration Tool or third-party tooling, with incremental syncs and a weekend cutover. Feeds directly into Copilot oversharing remediation.
What is included in our SharePoint and OneDrive migration service
A migration is also a chance to fix structure and permissions. A standard scope includes:
- Content inventory and ROT analysis – identify redundant, obsolete and trivial data so you migrate less and pay less.
- Information architecture – hub sites, team sites, document libraries, metadata and naming conventions designed for findability.
- Permission mapping – NTFS and share permissions translated to Microsoft 365 Groups, SharePoint groups and sharing policies.
- Migration execution – incremental pre-migration syncs, delta passes and a final cutover with reporting on every file.
- OneDrive rollout – Known Folder Move for Desktop, Documents and Pictures, with sync health checks.
- Governance and protection – retention labels, sensitivity labels and DLP policies applied from day one.
- Copilot readiness – oversharing checks and access reviews so Copilot only surfaces what users should see.
- Adoption – user training, quick-reference guides and a decommissioning plan for the old file server.
Our SharePoint and OneDrive migration process
- Inventory and assessment – scan sources for volume, file types, path lengths, permissions and unsupported characters.
- Design – agree the target site structure, library layout, permission model and governance policies.
- Pilot – migrate one department, validate access and sync, and refine the mapping.
- Migrate incrementally – bulk copy in waves while users keep working on the source, then delta syncs capture changes.
- Cut over and decommission – final sync, read-only source, OneDrive Known Folder Move, hypercare and file-server retirement.

- Copilot Readiness Assessment – confirm your tenant and data are ready for Copilot.
- Exchange Online Migration – move email alongside your files.
- Google Workspace to Microsoft 365 – migrate Google Drive and Gmail together.
- Server to Azure Migration – for workloads that still need a server.
- Data Protection & DLP – classify and protect sensitive documents.
- Microsoft 365 Backup – back up SharePoint and OneDrive after migration.
SharePoint and OneDrive migration FAQs
What UAE and US businesses ask before moving file servers to Microsoft 365.
How long does a file server to SharePoint migration take?
A single file server of 1 to 2 TB typically migrates in 2 to 4 weeks including design, pilot and cutover. Multi-site or multi-source projects run 6 to 12 weeks. Bulk copying happens in the background, so users are not blocked while it runs.
Will our folder permissions be preserved?
Permissions are mapped, not blindly copied. NTFS permissions are translated into SharePoint groups and Microsoft 365 Groups, and broken inheritance is simplified where possible so the result is secure and manageable.
Can you migrate from Google Drive, Dropbox or Box to OneDrive and SharePoint?
Yes. We migrate Google Shared Drives and My Drive, Dropbox Business and Box into SharePoint Online and OneDrive, including ownership mapping and conversion of Google native files.
Are there file limits in SharePoint Online we should know about?
Yes. Individual files can be up to 250 GB, full paths are limited to 400 characters, and some characters and file types are blocked. Our assessment flags these issues before migration so nothing is silently skipped.
Do users lose access to files during the migration?
No. The source stays available during incremental syncs. On cutover day the source is set to read-only for a few hours while the final delta copies, after which users work from SharePoint and OneDrive.
Is a SharePoint migration required before Microsoft 365 Copilot?
Copilot can only reason over content stored in Microsoft 365. Moving files into SharePoint and OneDrive, and fixing oversharing, is the most common prerequisite we deliver before a Copilot rollout.
What happens to the old file server?
After a verification period it is set read-only, backed up, and then decommissioned. If some workloads still need a server, we can move them to Azure as part of a server to Azure migration.
