Common questions from UAE and US IT teams planning a move to Exchange Online.
How long does an Exchange Online migration take?
A cutover migration for up to 150 mailboxes is usually completed in 2 to 3 weeks. Hybrid or staged migrations for larger organizations run 4 to 10 weeks depending on data volume, with mailboxes moved in batches so users keep working throughout.
Will there be email downtime during the migration?
No meaningful downtime. Mailboxes are synced incrementally before cutover, and the final MX switch is scheduled outside business hours. Users typically only restart Outlook and sign in again.
Should we choose a cutover, staged or hybrid migration?
Cutover suits organizations under about 150 mailboxes that can move in one weekend. Staged suits older Exchange versions with more mailboxes. Hybrid is right when you need coexistence, directory sync or a gradual move. We recommend the path during the assessment.
Exchange Server 2016 and 2019 are out of support. What are our options?
Since 14 October 2025 these versions receive no security updates. You can migrate to Exchange Online, or move to Exchange Server Subscription Edition if you must stay on-premises. For most organizations in the UAE and USA, Exchange Online is cheaper, more secure and removes the hardware entirely.
Do you migrate archives, shared mailboxes and public folders?
Yes. Online archives, shared and resource mailboxes, distribution groups, calendars and public folders are included, and public folders can be modernized into Microsoft 365 Groups or shared mailboxes where appropriate.
Can you migrate from Google Workspace, IMAP or a hosted Exchange provider?
Yes. We migrate from Gmail, IMAP platforms and hosted Exchange providers as well as on-premises Exchange Server. Each source has a tested migration method and the same cutover planning.
Do users need new passwords or Outlook profiles?
With Entra Connect sync, users keep their existing passwords. Outlook profiles are recreated automatically through Autodiscover in most cases, and we provide a one-page user guide for the cutover day.
Is Exchange Online backed up after migration?
Microsoft provides resilience, not a full backup. We recommend and configure third-party Microsoft 365 backup for mailboxes, OneDrive, SharePoint and Teams as part of the handover.
